1. WHO WE ARE AND WHAT CALLGENDA DOES
Callgenda is a productivity App that helps you turn calendar events into reminder phone calls (including via Android calling-account features), so you are less likely to miss important appointments.
The App may:
- Connect to calendars on your device and/or external calendars (for example Google Calendar and Microsoft Outlook / Microsoft 365);
- Create and schedule local reminder calls and notifications;
- Sync selected data with your Callgenda account when you are signed in;
- Offer subscriptions (for example Monthly or Annual) via Google Play Billing;
- Offer limited free tester access under separate terms.
2. SCOPE
This Policy applies to information processed through the Callgenda Android App and account-related backend services used by the App (for example authentication, cloud sync, and analytics/monetization tooling we integrate).
It does not apply to third-party websites, stores, or services that we do not control (including Google Play, Google Calendar, Microsoft sign-in/calendar, or your device manufacturer’s settings), which have their own privacy policies.
3. INFORMATION WE COLLECT
We collect information in the following categories. Exact data depends on what you choose to enable (permissions, calendar connections, account type).
3.1 Account and identity information
When you register or sign in, we may process:
- Email address;
- Display name / profile name you provide;
- Authentication identifiers (for example Firebase user ID);
- Sign-in method (email/password, Google Sign-In, and similar);
- Email verification status;
- Account preferences related to onboarding and plan selection.
If you use Google or Microsoft to sign in or connect calendars, those providers may share with us basic account identifiers and tokens needed to complete sign-in or calendar access, subject to your consent and their policies.
3.2 Calendar and agenda information
If you connect calendars or grant calendar permission, we may process:
- Calendar names and connection metadata (provider, account email where available, calendar identifiers);
- Event titles, start/end times, all-day flags, and related scheduling fields needed to create reminders;
- Reminder offsets you choose (for example “10 minutes before”, “1 hour before”);
- Sync status and error messages needed to keep calendars working.
We process calendar content only to provide the Services (show agenda items, schedule reminder calls, sync across your devices where account sync is enabled). We do not sell your calendar contents.
3.3 Call and reminder technical data
To place reminder calls and notifications on Android, we may process:
- Reminder schedules and call trigger times;
- Caller display settings you configure (for example caller number/name presentation used by the App);
- Device calling-account / telecom status (for example whether Callgenda is enabled as a calling account);
- Permission states (phone, notifications, calendar, exact alarms where applicable);
- Diagnostic logs related to failed or successful reminder delivery (for troubleshooting).
3.4 Device and app technical information
We may collect:
- Device identifiers used for account security and device-bound features (for example a device identifier we generate or obtain for limiting abuse);
- App version, OS version, language/time settings relevant to scheduling;
- Crash, performance, and operational logs;
- Network-related technical data needed for cloud sync and authentication.
3.5 Subscription and purchase information
If you purchase or manage a subscription via Google Play:
- Play processes payments;
- We may receive subscription status, product identifiers, entitlement state, and restore/purchase events needed to unlock features;
- We do not receive your full payment card number from Google Play.
3.6 Tester program information
If you join a free tester program, we may process:
- Tester status (for example approved / pending / rejected);
- Feedback you submit and related timestamps;
- Eligibility and abuse-prevention signals (for example whether conditions of the tester program are met).
3.7 Support communications
If you contact us, we process the content of your message and contact details you provide so we can respond.
3.8 Information we do not intentionally collect
We do not require government ID numbers, precise continuous GPS tracking for core features, or access to your full contact list as a core product requirement. If a future feature needs additional data, we will update this Policy and request permission where required.
4. HOW WE COLLECT INFORMATION
We collect information:
- Directly from you (account forms, settings, feedback, support);
- Automatically through the App and device APIs (permissions you grant, crash/diagnostic logs);
- From calendar providers you connect (Google, Microsoft, device calendars) via OAuth or system calendar APIs;
- From Google Play Billing for subscription entitlements;
- From authentication providers (for example Firebase Authentication, Google Sign-In).
5. WHY WE USE INFORMATION (PURPOSES AND LEGAL BASES)
We use personal data for the purposes below. Where GDPR/UK GDPR applies, the primary legal bases are indicated.
5.1 Provide the core Service (contract)
- Create and maintain your account;
- Connect calendars and import/sync events you authorize;
- Schedule and deliver reminder calls and notifications;
- Sync preferences and reminders across devices when signed in;
- Authenticate you and protect account access (including email verification).
5.2 Subscriptions and entitlements (contract / legitimate interests)
- Activate, restore, and enforce Monthly/Annual access;
- Distinguish free, tester, and paid plans;
- Prevent fraud and unauthorized free access.
5.3 Improve and secure the App (legitimate interests)
- Debug failures (sync, calls, permissions);
- Maintain security, prevent abuse, and enforce limits;
- Improve reliability and user experience.
5.4 Communications (contract / legitimate interests / consent where required)
- Service messages (security, verification, important account notices);
- Responses to support requests;
- Optional product messages only where allowed by law (you may opt out of non-essential marketing).
5.5 Legal compliance (legal obligation)
- Respond to lawful requests;
- Keep records required by law (for example financial/tax records related to sales where applicable via store partners).
5.6 Consent
Where required (for example certain device permissions or optional analytics), we process data based on your consent. You can withdraw consent by changing device permissions or account settings, or by contacting us. Withdrawal does not affect prior lawful processing.
6. PERMISSIONS ON YOUR DEVICE
Depending on features you use, the App may request Android permissions such as:
- Calendar (read/write) — to import events and keep reminders aligned;
- Phone / phone state / related call capabilities — to schedule and present reminder calls;
- Notifications — to alert you;
- Exact alarms / scheduling — to fire reminders on time;
- Internet — for account, sync, and store entitlement checks;
- Calling-account / telecom related settings — so Callgenda can appear as an incoming call on supported devices.
You can deny or revoke permissions in Android settings. Some features will not work without required permissions (for example reminder calls without calling-account setup, or calendar sync without calendar access).
7. HOW WE SHARE INFORMATION
We do not sell your personal information.
We share data only as needed with:
7.1 Service providers / processors
Vendors that help us run the Services under instructions, which may include:
- Cloud authentication and database providers (for example Firebase / Google Cloud services);
- Analytics or crash reporting tools we enable;
- Infrastructure and security providers.
7.2 Platform and integration partners (independent controllers or joint as applicable)
- Google Play / Google LLC — distribution, billing, Google Sign-In, Google Calendar when you connect them;
- Microsoft — Microsoft account sign-in and Outlook/Microsoft Graph calendar access when you connect them;
- Device OEMs / Android system services for calling accounts and system calendars.
When you connect Google or Microsoft, your use of those services is also governed by their privacy policies and terms.
7.3 Legal and safety
We may disclose information if we believe in good faith that disclosure is required to:
- Comply with law, regulation, legal process, or governmental request;
- Protect rights, safety, and security of users, the public, or Callgenda;
- Detect, prevent, or address fraud, abuse, or security issues.
7.4 Business transfers
If we are involved in a merger, acquisition, financing, or sale of assets, personal data may be transferred as part of that transaction, subject to appropriate confidentiality and this Policy’s principles.
8. INTERNATIONAL TRANSFERS
We may process and store information on servers located outside your country of residence (including outside the European Economic Area / UK). Where required, we use appropriate safeguards (for example Standard Contractual Clauses or other lawful transfer mechanisms) for international transfers.
9. DATA RETENTION
We keep personal data only as long as needed for the purposes described in this Policy, including:
- Account data — for as long as your account remains active, and for a reasonable period afterward for security, dispute resolution, and legal requirements;
- Calendar-linked reminders — while connections are active and as needed to operate scheduling; disconnected calendars and deleted items are removed or stop syncing according to App logic and backend cleanup;
- Logs and diagnostics — typically for a limited period unless needed longer for security or debugging a specific issue;
- Subscription records — as needed to maintain entitlements and meet legal/accounting obligations;
- Tester feedback — as needed to operate the tester program and improve the product.
When data is no longer required, we delete or anonymize it where feasible.
10. SECURITY
We implement technical and organizational measures designed to protect personal data, including:
- Encrypted transport (HTTPS/TLS) for network communication where applicable;
- Authentication via established providers;
- Access controls on backend systems;
- Least-privilege practices for operational access.
No method of transmission or storage is 100% secure. You are responsible for keeping your login credentials confidential and for using device lock features.
11. YOUR RIGHTS
Depending on your location, you may have rights to:
- Access your personal data;
- Correct inaccurate data;
- Delete data (“right to be forgotten”) subject to legal exceptions;
- Restrict or object to certain processing;
- Data portability;
- Withdraw consent where processing is based on consent;
- Lodge a complaint with a supervisory authority (for example in the EU/EEA, your local data protection authority).
To exercise rights, email privacy@callgenda.app from the email associated with your account when possible. We may need to verify your identity before fulfilling requests.
Account self-service:
- You can edit some profile and reminder settings in the App;
- You can disconnect calendars and revoke provider access in the App and in Google/Microsoft account security settings;
- You can manage or cancel Play subscriptions in Google Play;
- You can delete the App from your device (local data may remain until cleared by the OS; cloud account data may remain until deleted under this Policy).
12. CHILDREN
The Services are not directed to children under 16 (or the minimum age required in your country). We do not knowingly collect personal data from children. If you believe a child has provided personal data, contact us and we will take appropriate steps to delete it.
13. AUTOMATED DECISION-MAKING
We do not use personal data for automated decision-making that produces legal or similarly significant effects about you without human involvement. Plan entitlements (free / tester / paid) are based on purchase or program status, not profiling for advertising scores.
14. THIRD-PARTY LINKS AND SERVICES
The App may open system settings or third-party destinations (Play Store subscriptions, Google/Microsoft login, calling-account settings). We are not responsible for the privacy practices of those third parties.
15. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date. For material changes, we may provide additional notice in the App or by email where appropriate. Continued use of the Services after an update means you accept the revised Policy, except where consent is required by law.
16. REGION-SPECIFIC NOTICES
16.1 European Economic Area / UK
If GDPR/UK GDPR applies, Callgenda is the controller for personal data processed as described herein (except where a third party is an independent controller, such as Google or Microsoft for their own services). Legal bases are described in Section 5. You may contact your local supervisory authority.
16.2 California / similar US state laws
If applicable, we do not “sell” or “share” personal information for cross-context behavioral advertising as those terms are commonly defined. You may request access or deletion as described in Section 11. We will not discriminate against you for exercising privacy rights.
17. SUMMARY OF KEY PRACTICES
- We process calendar and reminder data to call you about your events — that is the product.
- We use account and device data to secure and sync your experience.
- Payments are handled by Google Play; we receive entitlement status, not your full card details.
- We do not sell your personal information.
- You control major permissions and can disconnect calendars or delete your account by contacting us.
